The problem

Project documents, safety forms and company communications lived across shared drives, email threads and personal folders. Site teams could not reliably find the current version of anything, and every new project rebuilt the same folder structure from scratch.

What we did

  1. 1

Mapped how site and office teams actually looked for documents — not how the folder tree assumed they would.

  2. 2

Rebuilt the information architecture around projects and roles, so the same structure ships with every new job.

  3. 3

Moved safety forms and company comms into the same system, with permissions set by role rather than by request.

  4. 4

Trained the people who own the content, so it stays current without us.

Where it landed

A single intranet the whole business works from, with a repeatable project structure that no longer has to be reinvented for each new job.

  • One structured home for project documents
  • Safety forms and company comms in the same place
  • Search that returns the current version, not five drafts
